If you install and use our browser extension, we may process connection and configuration data such as extension authentication tokens, company or workspace identifiers, connection status, the last connected timestamp, linked app or API origin details, and debug configuration values where enabled. When the extension is used on supported My Wedding Office or Facebook pages, we may also process visible page content and related metadata needed to provide the feature, such as group names, group URLs, post or comment text, post URLs, timestamps, and the visible name or profile link of the post author. If you choose to capture a lead through the extension, we may also process information you enter, such as notes or an estimated wedding date.
All personal information that you provide to us must be true, complete, and accurate, and you must notify us of changes where relevant.

Where you connect Google services, we process Google user data only for the specific user-facing features you choose to enable within My Wedding Office.

  • To deliver and facilitate delivery of Services to you.
  • To respond to user inquiries and provide support.

  • To send service-related communications, including service alerts and recurring service performance reports for the relevant service when those reports are enabled by the planner. Recurring service reports may be configured for daily, weekly, or monthly delivery and can be turned off in the service notification settings within the Services.

  • To protect our Services and prevent fraud, abuse, and security incidents.
  • To identify usage trends and improve the Services.
  • To process payments and manage subscriptions.
  • To enable and support third-party integrations.

We may also process personal information for the following purposes where you enable the browser extension:
  • To connect the extension to your My Wedding Office account, remember the linked workspace, and keep the extension available across browser sessions.
  • To detect supported My Wedding Office and Facebook pages, display extension controls, and derive the correct app or API context for the connected workspace.
  • To analyse limited visible Facebook post or comment content and related metadata in order to generate lead preview scoring, opportunity badges, and similar user-facing extension features.
  • To capture lead data that you choose to send from Facebook into My Wedding Office, including any notes or estimated wedding date you provide.
  • To retrieve and copy your default booking link or otherwise complete extension actions that you trigger.
We do not use browser extension data for advertising, sale of data, credit-worthiness determinations, or purposes unrelated to the disclosed extension features.
We may also process personal information for the following purposes where you enable Gmail, Google Calendar, Google Business Profile, or other Google-connected features:
  • To access, display, organise, sync, and maintain Gmail conversations, message metadata, labels, drafts, and related mailbox state within the Services.
  • To send emails or draft replies on your behalf where you choose to use Gmail-connected communication features.
  • To associate relevant email activity with leads, inquiries, contacts, clients, bookings, timelines, or workflows inside the Services.
  • To access your available Google Calendar list so that you can choose which calendar to connect to the Services.
  • To read, create, update, delete, sync, and display events from a connected Google Calendar, including combining external calendar events with internal My Wedding Office events in the calendar view, dashboard, and customer profile where relevant.
  • To access and display Google Business Profile review data for listings you own or are authorised to manage and, where enabled, to help you create, update, or delete review replies on your behalf.
  • To generate user-requested summaries, suggestions, drafting assistance, workflow insights, communication insights, reply suggestions, scheduling insights, or other AI-assisted features using selected Google-derived content where such features are visible and prominent within the Services.
  • To store Gmail-connected content, Google Calendar-connected content, and related records for continuity of the Services, support, security, dispute resolution, and user-requested workflow history, subject to the retention terms described below.
If you use the Services to manage, contact, review, schedule, or otherwise process information relating to your own clients, leads, couples, guests, contacts, or business listings, you are responsible for ensuring that your use of those features complies with applicable privacy, consumer, anti-spam, platform, and electronic communications laws and policies.

5. WHAT LEGAL BASES DO WE RELY ON TO PROCESS YOUR PERSONAL INFORMATION?

In Short: We only process your personal information when we have a valid legal basis to do so under applicable law.

Google API data. Notwithstanding anything else in this Privacy Policy, information obtained from Google APIs, including Gmail data, Google Calendar data, Google Business Profile review data, and data derived from them, is handled subject to the restrictions described in Section 11 below. We do not share Google API data with advertisers, data brokers, or general-purpose analytics providers. We share Google API data only where necessary to provide the specific user-facing feature you requested, to maintain or secure the Services, to comply with applicable law, or as otherwise permitted under applicable Google policies. Google Business Profile review content may also be subject to additional product-specific storage and use restrictions.
Browser extension and Facebook lead capture data. If you use the browser extension, extension-captured website content and related metadata from supported My Wedding Office or Facebook pages is processed within My Wedding Office and may be shared with service providers that help us host, secure, store, maintain, support, and operate the Services, or where disclosure is required by law. We do not sell this data or share it with advertisers or data brokers. We use it only to provide the disclosed extension features, such as connection, preview scoring, lead capture, booking link retrieval, support, security, and compliance.
Where the Services include public profile, review, testimonial, reputation, or similar public-facing features, information you choose to publish through those features may be visible to other users, platforms, search engines, or the public, depending on the feature and its settings.

7. INTERNATIONAL DATA TRANSFERS

Some of our service providers or integration partners may process personal information in countries outside the EEA, UK, or Switzerland.
Where we transfer personal information internationally, we will take steps designed to ensure that such transfers are made in accordance with applicable data protection law, including by relying on adequacy decisions, standard contractual clauses, or other recognised safeguards where required.

8. DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?

We may use cookies and similar tracking technologies to maintain the security of our Services and user accounts, prevent crashes, fix bugs, save preferences, support authentication, understand product usage, and improve performance.
In our web application, we currently use PostHog as an optional analytics provider. PostHog tracking stays off by default and is enabled only after you explicitly opt in through our consent controls. When enabled, we use PostHog to collect usage event data and heatmap data so we can understand how the Services are used and improve performance and usability.
Where required by applicable law, we request consent before using non-essential cookies or similar technologies. You can later change or withdraw your choice through our consent controls, including account settings within the Services and any consent banner we present. 9. DO WE OFFER ARTIFICIAL INTELLIGENCE-BASED PRODUCTS?

In Short: Yes. We may offer features powered by artificial intelligence, machine learning, or similar technologies.
As part of the Services, we may offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies (collectively, “AI Products”). These may include drafting assistance, summaries, insights, text analysis, translation, categorisation, workflow suggestions, communication suggestions, suggested email replies, scheduling insights, and review reply suggestions.
We may provide AI Products through third-party service providers, including OpenAI. Where you use AI-powered features, your inputs, outputs, and related personal information may be processed by those providers as necessary to provide the feature.
Where an AI-powered feature operates in connection with Gmail, Google Calendar, Google Business Profile, or another Google integration, we may use selected Google-derived content to generate communication insights, suggestions, draft replies, review reply suggestions, scheduling insights, or workflow recommendations requested by the user. We use such Google-derived data only to provide the specific feature requested within the Services. We do not use Google user data obtained through Google Workspace APIs to train generalized artificial intelligence or machine learning models. OpenAI API data is not used to train OpenAI models by default unless the customer explicitly opts in.
AI-powered features are intended to support users and may generate inaccurate, incomplete, or misleading outputs. Unless expressly stated otherwise, these features are designed to assist human decision-making and are not intended to make solely automated decisions that produce legal or similarly significant effects on individuals. Users remain responsible for reviewing AI-generated outputs before relying on them.

10. HOW DO WE HANDLE YOUR SOCIAL LOGINS?

In Short: If you choose to register or log in using a social media account, such as Facebook, we may receive limited information about you from that provider.
If you choose to register or log in using Facebook, Google or another third-party social media account, we may receive certain profile information from that provider, such as your name, email address, account identifier, and profile image, depending on the provider, permissions granted, and your account settings.
We use this information only to authenticate your account, create or link your user profile, enable the related login functionality within the Services, and help keep your account secure.
In Short: If you choose to register or log in using a social media account, we may receive limited information about you from that provider.
If you register or log in using a third-party social media account, we may receive certain profile information such as your name, email address, account identifier, or profile image, depending on the provider and your settings. 11. HOW DO WE HANDLE GOOGLE DATA AND GOOGLE APIs?

If you connect your Google account to My Wedding Office, we may access Google user data that you authorise.
This may include:
  • Gmail data, such as email message content, subject lines, sender and recipient information, timestamps, threads, labels, drafts, and limited mailbox-management permissions needed to maintain Gmail-connected features and send email on your behalf.
  • Google Calendar data, such as connected calendar lists, calendar identifiers, event titles, descriptions, dates, times, attendees, notes, statuses, and related metadata.
  • Google Business Profile review data, such as reviews, ratings, review reply status, and related business profile review metadata for listings you own or are authorised to manage.
We use this Google user data only to provide the Google-connected features you choose to enable inside My Wedding Office. These features may include allowing you to browse and manage email conversations in the inbox area of the Services, sending emails or drafting replies on your behalf, keeping related Gmail labels or mailbox state in sync where needed for enabled inbox features, attaching relevant email conversations to customer records based on email address matching, displaying and syncing relevant communication history within your workflow, allowing you to select a calendar to connect, displaying synced calendar events inside My Wedding Office, combining external calendar events with internal events in the calendar view, dashboard, and customer profile, supporting two-way synchronization and creating, updating, or deleting calendar events on your behalf, displaying Google Business Profile reviews and, where enabled, helping you create, update, or delete review replies on your behalf, and generating user-requested summaries, suggestions, workflow insights, communication insights, suggested replies, review reply suggestions, or scheduling insights that are visible and prominent within the Services.
We may store Google user data, including full Gmail message bodies and connected Google Calendar event data and related metadata, in our systems and databases, including infrastructure provided through subprocessors, where necessary to provide the enabled feature, maintain workflow continuity, support the Services, investigate abuse or security issues, enforce our agreements, and comply with legal obligations.
We generally retrieve Google Business Profile review content directly from Google when needed and do not store raw Google review content in our systems except for limited temporary processing or caching where permitted by applicable Google policies. We may store internal metadata, references such as review IDs, reply status, and user-requested insights or suggestions associated with a review.
To provide certain AI-assisted features you request, we may send selected Google-derived content to OpenAI or another AI service provider acting on our behalf. We do this only to provide the specific user-facing feature you requested within the Services. We may minimise, redact, transform, or structure content before sending it where appropriate.
We do not use Google user data for advertising, sale of data, marketing profiling, credit-worthiness determinations, or unrelated analytics. We do not use Google user data obtained through Google Workspace APIs to train generalized artificial intelligence or machine learning models.
We do not transfer Google user data to third parties except where necessary to provide or improve the specific user-facing feature you requested, to protect the security or integrity of the Services, to comply with applicable law, or in connection with a merger, acquisition, or sale of assets where legally permitted and, where required, with notice or consent.
We restrict human access to Google user data and do not permit employees or contractors to read such data except where you ask us to review specific content as part of a support request, otherwise give us affirmative permission to review it, where necessary to investigate abuse or security incidents, to comply with applicable law, or to perform other limited activities permitted under applicable Google policies.
Our use of information received from Google APIs will comply with the Google API Services User Data Policy, including the Limited Use requirements where applicable.

12. HOW LONG DO WE KEEP YOUR INFORMATION?

We generally retain personal information for as long as your account remains active and for a limited period thereafter as needed for legal, tax, accounting, fraud prevention, dispute resolution, backup, security, and enforcement purposes.
For the browser extension, connection and configuration data stored locally in your browser, such as connection status, extension authentication tokens, linked workspace details, last connected timestamps, and last-seen app or API base URLs, is generally retained until you disconnect the extension, uninstall it, clear extension storage, or the data is replaced by updated values. Lead records or other information that you send into My Wedding Office through the extension are retained in your account according to the standard retention terms that apply to those records.
Where you enable Gmail or Google Calendar features, we may retain related Google user data, including synced email content, calendar event data, and related metadata, for as long as necessary to provide the enabled feature, maintain workflow continuity, support the Services, comply with legal obligations, resolve disputes, enforce our agreements, and maintain secure backups.
If you disconnect your Google account, close your account, or request deletion of your data, we will delete associated Gmail and Google Calendar data from active systems within a reasonable period, except where retention is required by law, necessary for security or fraud prevention, needed for dispute resolution or enforcement, or retained in backup systems for a limited cycle before deletion.
Where we process Google Business Profile review data, we retain and handle that content only as permitted under applicable Google Business Profile API policies, including any product-specific limits on storage and use.
When we no longer have a legitimate need to process personal information, we will delete or anonymise it, or, if that is not possible, we will securely store it and isolate it from further processing until deletion is possible.

13. HOW DO WE KEEP YOUR INFORMATION SAFE?

For the browser extension, connection tokens and configuration data are stored in browser extension storage and transmitted to My Wedding Office APIs over encrypted connections. We apply access controls and related safeguards designed to protect extension-linked data, but you remain responsible for securing your browser profile, device, and account credentials.

14. DO WE COLLECT INFORMATION FROM MINORS?
